4. Google Calendar Integration & Google User Data
Agilx Core offers an optional integration with Google Calendar to help you identify meeting conflicts and to add, update, and remove meetings created through our “Book a meeting” feature. This section discloses how our app accesses, uses, stores, and shares Google user data in connection with that integration.
4.1. What We Access
With your explicit consent via Google OAuth, we request the minimum scopes necessary to power the integration, which may include:
https://www.googleapis.com/auth/calendar.events
(create, read, update, and delete events you create via the Application)https://www.googleapis.com/auth/calendar.events.readonly
(read events to assess conflicts and show availability)- Offline access (refresh token) so events you schedule/cancel in the Application can be synchronized even when you’re not actively using the app
Depending on your selection during setup, we may access: your calendar list (to let you choose a target calendar), event metadata (title, description, location, conferencing link, attendees, start/end times, time zone), and free/busy information for conflict checks. We do not access your Gmail, Drive, Contacts, or other Google services unless you separately authorize those services.
4.2. How We Use Google User Data
- To show your availability and detect potential conflicts during scheduling
- To create meetings you book through the Application on your selected Google Calendar
- To update or cancel meetings created through the Application when you make changes or cancellations
- To display event details (only as needed for the above functions) within the Application
We use Google user data solely to provide the features you enabled and as described in this policy. We do not use Google user data for advertising or to build marketing profiles.
4.3. Storage & Security
- We may store limited event metadata necessary to link your Application records with the corresponding Google Calendar event (e.g., Google event ID, start/end time, organizer, conferencing link, and our internal record IDs).
- If you grant offline access, we store your OAuth refresh token so we can create/update/cancel events on your behalf. Tokens are encrypted at rest and access is strictly limited to operational services that need them.
- We employ industry-standard security measures, including encryption in transit (TLS), access controls, and periodic security reviews.
4.4. Sharing
- We do not sell Google user data.
-
We do not share Google user data with third parties except:
- With service providers (e.g., cloud hosting, logging/monitoring, support tools) acting as our processors under contractual confidentiality and data protection obligations; and
- As required by law, regulation, or valid legal process.
- We do not transfer Google user data for the purpose of serving ads.
4.5. Retention & Deletion
- Event metadata we store is retained for as long as your account remains active or as needed to provide the integration.
- If you disconnect Google Calendar within the Application or delete your account, we will revoke our stored tokens and delete associated Google user data (including refresh tokens and stored event metadata) within 30 days, unless we are required by law to retain certain records.
- You may also request deletion of Google user data at any time by contacting support@agilx.com. We will fulfill verified requests within a reasonable period.
4.6. Your Choices & Controls
- You can connect or disconnect Google Calendar at any time in the Application’s integration settings.
- You can revoke Agilx Core’s access directly in your Google Account at https://myaccount.google.com/permissions.
- You can choose which calendars to use during setup and change that selection later.
- You can request access, correction, or deletion of your stored data by contacting us.
4.7. Compliance with Google Policies
Our use and transfer of information received from Google APIs to any other app complies with the Google API Services User Data Policy, including the Limited Use requirements. We do not permit humans to read your Google user data unless: (i) you give us explicit consent, (ii) it is necessary for security or compliance (e.g., investigating abuse), or (iii) it is required by law.
5. Cookies & Similar Technologies
We use cookies and similar technologies to operate and improve the Application (e.g., essential session cookies, analytics cookies). You can control cookies through your browser settings. Some features may not function properly without essential cookies.
6. Security
We implement reasonable security measures to protect the security of your personal information both online and offline. This includes encryption, access controls, and regular security assessments. We may use third-party services (e.g., analytics, hosting, logging) to understand how users interact with our website and to operate the Application. These third parties are contractually bound to protect your information and are not authorized to use it for any purpose other than providing their services to us.
